The Clean Handoff Method
A four-step method borrowed from how hospitals keep work from falling through the cracks, applied to growing companies. Every step has a clear output, and nothing gets built before it is measured.
Map
We start with what you already have. You complete the Runwell Index and send a few things your business already uses: your list of software, a recent weekly report, and a sample quote, intake form or schedule. Your team answers a short survey and records a few quick screen walkthroughs of how key tasks get done. Then we have one focused conversation with you, plus a short team call when it helps, to fill the gaps. From there we trace your core workflows: for a practice, referral to intake to first visit to billing; for a trades company, lead to quote to job to invoice.
You get: an Owner Dependency Map showing what still requires you, and a Handoff Map marking each place work changes hands as clean, fragile or broken.
Prioritize
Every possible fix gets scored on impact, effort, risk and time to value. Then we do the math: hours tied up, what those hours cost, and a realistic range for what changes. Some items get marked "do not automate yet" because the process underneath needs fixing first.
You get: your top three opportunities, a 90-day roadmap, and a recorded executive readout.
Build
We build in two sprints with your team: clear handoff steps, connected tools, automatic follow-ups, a knowledge base your staff can use, and an owner brief like the one on our home page. You see progress every week in a short check-in.
You get: working systems, trained people, and written instructions so it keeps running after we step back.
Verify
We measure the same things we measured at the start. Hours spent on reporting, follow-up speed, interruptions to the owner, days from referral to first visit. If something did not move, we say so and adjust it.
You get: a before-and-after report and a clear decision about what comes next, including the option to stop.

Questions
What owners ask us.
Are you an IT company?
No. Your IT provider keeps your technology working. We look at whether the way your company runs makes sense in the first place, then fix the handoffs and connect the tools you already have.
Do we have to use AI?
No. Many of the most valuable fixes are simple: a clear owner for each handoff, one place for information, a standard follow-up. We add AI where it saves real time, like drafting follow-ups or assembling your weekly numbers.
Will this replace my staff?
That is not the goal. We remove the retyping, chasing and report-building that keep good people from their real work. Your team usually becomes our best source of ideas once they see that.
What about patient or customer data?
You approve in writing exactly what we and any tool can access. For healthcare practices we work on front-office and back-office operations and keep patient records out of AI tools.
How much of my time does this take?
Very little. The Scan runs mostly on documents you already have, a short survey for your team and one focused conversation with you. During a Build, you join a brief weekly check-in.
